AI and managed IT for contractors and trades.

Project managers and supers spend their nights typing daily reports and chasing RFIs. We automate the paperwork from the field notes and photos they already take, and keep the office and trucks connected.

What AI can automate for construction and trades

These are the first four automations we usually build for construction and trades. Each one runs on ChatGPT, Claude, Gemini, Copilot or any other AI platform, connects to the tools you already use, and keeps a person on every decision that matters. A single workflow typically costs about $5,000 in the market, and our fixed quote comes in under it.

  • RFI and submittal logging.Emails from architects, engineers and subs are read, logged against the right project and assigned a due date. The project manager confirms each entry and the log stays current without retyping. Example: saves about 4 hours a week per project manager.
  • Daily reports from field photos and notes. The super's photos, voice notes and crew counts become a drafted daily report in your format. The super reads it on a phone, fixes anything off and submits it. Example: cuts each daily report from 40 minutes to 10.
  • Change-order tracking.Scope changes mentioned in emails, meeting minutes or field notes are flagged and drafted into change-order requests with the backup attached. The PM approves pricing before anything goes to the owner. Example: catches change work that might otherwise go unbilled on a $2M job.
  • Bid invitation triage.Incoming bid invitations are read for trade, location, size and due date, then scored against the work you want. The estimator gets a ranked short list and decides which to pursue. Example: cuts bid review from 5 hours a week to about 1.

What the IT has to get right for construction and trades

Automation only holds up on systems that are patched, backed up and locked to the right people. Managed IT help desk and monitoring start at $75 per user per month and run 24x7x365, with upkeep and security added a la carte.

  • Phones and tablets in the field that reach project files securely.
  • Shared drives for drawings and specs that do not slow the office down.
  • Email protection against fake payment change requests from subs and suppliers.
  • Quick setup and shutoff of accounts as crews and subs come and go.

Which rules usually apply

Most trades firms deal mainly with the NY SHIELD Act and New Jersey's breach notification law for employee and customer data, PCI DSS if they take card payments, and NIST SP 800-171 and CMMC only when they work on defense contracts. This is general information, and your own advisers have the final word.

What it looks like in practice

For example, a 30-person general contractor runs 6 jobs at once, and each super spends about 40 minutes every evening on the daily report. With a daily report automation, the super sends photos and a 2-minute voice note from the site, the draft arrives in the report format, and checking it takes about 10 minutes. Across 6 supers that is about 15 hours a week back, mostly from after-hours work.

Questions

Common questions

Does this work with Procore or our project software?

Often yes. Many construction platforms have APIs or email intake, and we confirm the right connection for your setup on the free first call.

Our supers are not tech people. Will they use it?

Yes, because it uses what they already do: taking photos and leaving voice notes. The report shows up for them to check, so there is no new app to learn.

Can you support crews across several job sites?

Yes. Managed IT covers phones, tablets, laptops and job trailer connections, with help desk and monitoring available 24x7x365.
