How much does managed IT cost in New York and New Jersey?

Managed IT for a small or midsize business usually costs somewhere between $100 and $250 per user per month in the US, with basic plans below that and compliance-heavy plans above it. Where you land depends on what is bundled: help desk hours, security tools, backup, licensing and on-site visits. The per-user number only means something once you know what it covers.

What is the typical per-user price for managed IT?

Most published guides put fully managed IT for small and midsize businesses in a band of roughly $100 to $250 per user per month. One national provider's pricing guide cites about $100 to $149 per user for smaller companies and $150 to $400 for comprehensive packages that add 24/7 support and advanced security. Few of these numbers come from audited surveys, so use them as a sanity check and nothing more.

Quotes in the New York and New Jersey metro use the same structure: a flat fee per user, sometimes with a per-server charge on top. Scope is what moves the number.

What drives the monthly cost of managed IT?

The biggest driver is how much risk and labor the provider takes on for you. A plan that answers tickets during business hours costs less than one that watches your network overnight, runs endpoint detection and response, and restores a server at 2am.

The main levers:

  • Support hours.Business-hours help desk versus 24x7x365 coverage.
  • Security stack.Antivirus only, or managed detection and response, email filtering, phishing training and dark web monitoring.
  • Backup.Whether Microsoft 365 or Google Workspace data, servers and laptops are backed up, and whether restores are tested.
  • On-site work.Included visits, or billed by the hour.
  • Compliance.HIPAA for a dental group or financial rules for an advisory firm add documentation, policies and audit prep.
  • Environment age.Old servers and unsupported operating systems take more labor to keep running.
  • Licensing.Whether Microsoft 365 and other software sit inside the per-user price or are billed separately.

What should be included in a managed IT plan?

A managed IT plan should cover the daily work of keeping people productive and the background work of keeping the business safe. At a minimum, ask for these in writing:

  • Help desk by phone, email and portal, with stated response times
  • Patching for Windows, macOS and common third-party apps
  • Endpoint security and monitoring on every laptop and server
  • Backup for cloud email and files, with periodic restore tests
  • User onboarding and offboarding, including access removal on the last day
  • Network and firewall management
  • Documentation of your systems that you can get a copy of
  • A regular review of risks, aging hardware and next year's budget

If any of these are add-ons, ask for each one priced in writing, so the monthly number you compare reflects the scope you actually get.

What hidden fees should you ask about?

The most common surprises are onboarding fees, project work billed hourly, and licensing passed through on the same invoice. Each is reasonable on its own. The problem is finding out after you sign.

Questions worth asking first:

  • Is there an onboarding fee, and what does it cover?
  • What counts as a "project" versus included support? Is a new hire's laptop setup included? An office move?
  • What is the hourly rate for out-of-scope work, and is after-hours billed at a higher rate?
  • Are on-site visits included, and is there a trip charge?
  • Is licensing billed through you, and is it marked up?
  • What happens if headcount drops? Is there a minimum user count?
  • How long is the agreement, and what is the notice period to leave?
  • Do I keep my documentation, passwords and admin accounts if we part ways?
Watch the term. A low monthly price on a three-year contract with an early termination fee can cost more than a higher price you can walk away from.

What does Kildaris charge for managed IT?

Kildaris help desk and monitoring starts at $75 per user per month, and both run 24x7x365: help desk by phone, email or portal at any hour, weekends and holidays included, plus monitoring of your devices, accounts and backups. Patching, backup with restore tests, identity and account lifecycle, and cybersecurity are add-ons you choose a la carte, each quoted to your environment. Cybersecurity, which covers managed detection and response, phishing simulation, vulnerability scanning and an incident response plan, is packaged separately. That way the number you see in writing matches the scope you actually need.

Agreements are month-to-month on a rolling basis with a defined notice period, so there is no multi-year lock-in. Details are on the managed IT page, and the security side is covered under cybersecurity.

How does company size change the bill?

Headcount sets the base, and scope sets the rest. A 15-person accounting practice that keeps client tax data needs stronger security than a 15-person design studio, even at the same headcount. A 50-person distributor with a warehouse night shift needs real overnight coverage and tested backups of its inventory system, which a daytime-only office may not.

For example, when you compare quotes for a 15-person or a 50-person office, line them up on the same scope: who answers at night, which security tools are included, whether restores are tested, and what on-site work costs. Two quotes with the same per-user number can cover very different amounts of work.

How do you compare managed IT quotes fairly?

Put every quote into the same table: price per user, what is included, what is billed hourly, term length and notice period. Then price out one realistic year, including two or three new hires, one departure and one small project. The lowest per-user price does not always produce the lowest annual bill once the year is on paper.

Questions

Questions people ask

Is managed IT cheaper than hiring an in-house IT person?

For many businesses under about 50 people, yes. One in-house hire brings one person's skills and working hours. A managed plan spreads coverage across a team, with security tools and after-hours support included, for a predictable monthly fee.

Do managed IT prices include Microsoft 365 licenses?

Usually not. Most providers bill software licensing separately or pass it through on the same invoice. Ask whether licensing is included, passed through, or marked up, and get the answer written into the agreement.

Why do some providers charge per device and others per user?

Per-user pricing fits offices where each person has a laptop, a phone and cloud accounts. Per-device pricing suits shared workstations, like a dental front desk or a shop floor.

Can I add services later?

With Kildaris, yes. Agreements roll month to month, so a firm can start with help desk and monitoring and add patching, backup, identity or cybersecurity when it takes on regulated data or larger clients.
